CRM Build Out

Background: KIPP SoCal Public Schools provides quality education to underserved communities in Southern California. The organization has a strong fundraising arm, bringing in over $5M in annual donations to support its mission. To achieve their goal of opening 20 schools by 2020, KIPP SoCal recognized the need for an effective CRM system that would streamline their fundraising efforts and improve their ability to track progress towards their goals.

Challenge: Prior to implementing the Neon CRM system, manual data entry was time-consuming and hindered their ability to focus on fundraising efforts. Their prospect research processes were not efficient, resulting in a lack of insight into donor behavior and potential missed opportunities for increased fundraising. There was also a lack of clear reporting on KPI metrics, making it difficult to track team progress toward goals.

Solution: We worked with KIPP SoCal to develop a CRM database infrastructure that allowed teams to spend more time on mission-critical work, such as planning events and engaging with donors, instead of dealing with manual data entry and inefficient workflows. The dashboard provided a more comprehensive view of donor behavior, allowing for sharper prospect research and more effective fundraising strategies. The team also implemented an email system for events, registration, and strategic planning, as well as a thank-you letter system to express appreciation to donors and foster long-term relationships

Results: With the implementation of the CRM system, KIPP SoCal was able to save over 5 hours of manual data entry per week, allowing the team to focus on more strategic fundraising initiatives. The improved prospect data provided by the CRM system resulted in over $100k+ in additional donations and contributed to KIPP SoCal's ability to achieve its goal of opening 20 schools by 2020. The clear reporting on KPI metrics allowed the team to track progress toward their goals and make data-driven decisions, leading to positive recognition from the Board of Directors at KIPP SoCal. Overall, the CRM system was essential in achieving KIPP SoCal's ambitious fundraising and organizational goals.

 Making Donor Management Easier

A client struggled to keep track of their donors and needed a better way to stay organized. We helped by creating easy-to-read reports that showed donor trends and setting up tools to track fundraising efforts, making sure every event and outreach supported their yearly goals.

We also assigned team members to manage specific donor relationships and organized donors into groups—like Foundations, Government, Corporate, and Major Gifts—so Aspire could send the right messages to the right people. With new custom dashboards, their team can now see all their fundraising progress in one place, helping them focus on what really matters—building strong relationships and raising more funds.

Optimizing Operations 


We partnered with a client to optimize their Salesforce system, focusing on improving operational efficiency and data management. Key improvements include streamlining their partner directory of 300+ organizations, integrating Mailchimp for targeted communications, and implementing tools to track elected officials and their teams for policy initiatives.

Additionally, we integrated donor and event management features to view fundraising efforts comprehensively. These enhancements have transformed Salesforce into their organization's central hub for operations, marketing, events, and fundraising, enabling their team to manage relationships better and drive impact.

Automating Engagement

We helped a client revamp their volunteer registration and program engagement process by integrating 123FormBuilder with Salesforce, transforming how they manage events, classes, workshops, and data collection. This solution automated participant registration, eliminating manual data entry and ensuring all information flowed seamlessly into Salesforce for accurate tracking.

Additionally, real-time dashboards provided insights into attendance, demographics, and engagement trends, allowing the organization to measure impact and optimize outreach efforts. This system now serves as the backbone of their data collection process, enhancing efficiency and ensuring every supporter stays connected beyond the initial engagement.

We helped a client transition from scattered data across Google Spreadsheets and Airtable to a centralized Salesforce CRM, improving efficiency and reporting. This solution integrated donor management with Give Lively, automated program data collection via 123FormBuilder, and provided real-time dashboards to track fundraising progress and program outcomes.

This transformation eliminated manual tracking, streamlined grant reporting, and enabled better engagement with donors and participants.
